a) Archives Collection Policy

The Bishop’s Stortford College library holds resources relating to the history of BSC which are worthy of preservation.

These include;

Artefacts of school life; tuck boxes, trunks, items of uniform, paintings and drawings

Printed records: class lists, school magazines, prospectuses.

Written records; admissions registers, minute books

Photographs in a variety of media; glass plates, black and white, colour and digital

Records about individuals with a clear connection to the College; staff, governors and ex-pupils

Books by or about individuals who have a clear connection to the college.


We are always very grateful for any suitable donations from Old Stortfordians, however we reserve the right to refuse donations or suggest alternative archives.

The donor will be advised in writing if we do not want to keep an object.

We will accept gift donations, we will generally not accept loan items.

We will use the library book budget to acquire books with a college connection.

We will not purchase artefacts for the archives, instead relying on in-house created records, or donations.

We do not collect personal libraries or items unconnected with the college.

We do not collect items too costly to conserve or repair.

Records should be suitable for open access by interested researchers and comply with legal requirements on privacy and decency. Copyright should be transferred to the College if possible.

Ex-pupils (Old Stortfordians) and their families researching our records receive help from the librarian at no cost. Businesses and private researchers may be asked for a donation to cover costs and / or a copy of any resulting publication. They should obtain permission from the copyright holders for any written, artistic or photographic work they then publish.

The archive is registered with the National Archives www.archon.org.uk.

Visitors to the archives are admitted by appointment and the daily work of the school library takes priority.

To the best of our knowledge all materials on this website are the copyright of Bishop’s Stortford College, in the public domain, or reproduced with permission from other copyright owners.

All rights are reserved.

The materials on this web site may be retrieved and downloaded for personal use only.

They may not otherwise be copied, modified, published, stored in any medium (including any other website), broadcast or otherwise distributed without the prior written permission of the head teacher of Bishop’s Stortford College.

We have made the best effort to adhere to all known copyright, but due to the age of some of the records and photographs it has not always been possible to establish rights owners. Requests for removal of digital records from this website should be sent to the school librarian maggie.garrett@bishopsstortfordcollege.org with details of the item and an explanation of why it should be removed, including any claim to rights.

This website is just the beginning of our project to digitise the College’s library archive. We have started with panoramic photographs and copies of The Stortfordian but there is still much more we would like to make available to you. However, this will only be possible with donations towards the project.
